Summary:

Under the direction of the Administrator, the Healthcare Information Director (HIM) oversees all medical records, policies, processes and employees within the department of Healthcare Information. The HIM, supervises the operations of the medical records unit, and in conjunction with the Director of Nursing, answers inquiries, provides information and resolves complaints from the public or other agencies, which often requires the use of judgment and the interpretation of policies, rules and procedures.

 

 

Essential Responsibilities:

  • Ensure that all records are maintained in compliance with the law and the organization's procedures
  • Monitor medical records for compliance legal requirements; confers with the DON and Administrator concerning quality
  • Plan, organize, train, supervise and evaluate the operation of the Healthcare Information Staff
  • Interviews and recommends staff to be hired; may counsel and discipline staff
  • Analyze medical records and insures the accuracy of coding and indexing of diagnosis
  • Apply current Federal and State legislation and develops for compliance with all regulatory agencies for medical records.
  • Direct data collection for the preparation of financial, operational, and statistical reports.
  • Prepares and submit reports to authorized medical and governmental agencies in a timely fashion
  • Provide leadership and compliance to facility staff
  • Review and Monitor Physician documentation and assist with addressing problems with the EMR system raised by doctors and clinical staff.
  • Oversee physician credentialing as well as track and maintain recertification
  • Review subpoenas and requests for medical records from attorneys and other agencies
  • Audit documentation of interdisciplinary team
  • Work with the DON and Business office to process RAC requests, medical records review, insurance denial and appeals.
  • Conduct training on issues pertaining to medical records such as laws and regulation
  • Coordinate operation and maintenance of the electronic & paper medical record management system; acts as the liaison with information technology staff and works with vendors and IT staff to resolve problems. Understands and apply the elements of ODH compliance to EHR.
  • Maintain an accurate computer database of resident information as well as ensure confidentiality of information for residents.
  • Monitor and communicate with ambulance companies regarding services provided, review bills and submit to Business Office for payment.
  • Work closely with the DON to organize and coordinate survey readiness
  • Prepare reports as needed and directed by the DON and implement processes that streamline reporting requirements
  • Ability to assess, problem solve and make decision based on the data available.
  • Organization and analysis of data for evaluation to assure compliance with various accrediting agencies
  • Work with surveyors from regulatory agencies during Long Term Care surveys.
  • Coordinate and/or assist with special projects and assignments
  • All other duties as assigned

 

 

Education Requirements:

  • Minimum of Assoc. Degree & certification from American Health Information Management Association (AHIMA)
  • Minimum of 3 years experience supervising a Healthcare Information or Medical Records department and staff
  • Advanced level knowledge of medical records guidelines and regulations, medical records analyzing, processing techniques and standards, supervisory practices and principles.

 

Excellent personal and interpersonal communication skills, attention to detail and timeliness and advanced level computer skills.

Other skills or certifications:

Must have demonstrated experience with MS Office. Must be able to learn and utilize Advanced Answers on Demand. Experience with surveys.
