Reports To: Director, Health Information Management

SUMMARY

This position is responsible for serving as a positive first impression of the company at all times, while handling the daily responsibilities of a receptionist with efficiency and ease. The receptionist will answer inquiries, provide information to customers and visitors, and maintain an organized front desk in accordance with policy and procedures of Eliza Bryant Village.

Please note that this position will work 2 days during the week and rotating weekend and rotating holidays.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manages incoming telephone traffic from vendors, contractors and other business associates and route them accordingly with exceptional customer service
  • Greets customers promptly and courteously.
  • Performs basic secretarial duties including word processing, filing, copying, and scanning.
  • Maintains resident appointments on schedule by notifying staff of resident’s arrival/departure; reviewing departure compared to schedule; notifying key staff of residents’ delays in departure.
  • Facilitates new resident flow by notifying the appropriate staff of residents' arrival, being aware of delays, and communicating with residents and clinical staff.
  • Provides professional, pleasant and positive assistance to families, employees, vendors, and others who conduct business with Eliza Bryant Village
  • Maintains various logs daily to account for appropriate medical staff, residents, visitors and volunteers who are in the facility.
  • Schedules all conference rooms and common areas.
  • Maintains neat, organized, safe, and clean reception area.
  • Monitor the parking lot and campus areas via security camera to allow access in and out of the facility.
  • Directs visitors by maintaining employee and department directories; giving instructions.
  • Maintains confidentiality of all pertinent resident information to ensure resident privacy rights.
  • Attends and participates in in-service and on-the-job training as required.
  • Reports unusual events to management immediately.
  • Performs other duties as assigned

QUALIFICATIONS:

  • High School Diploma or equivalent
  • Minimum 3 years of related experience in a healthcare environment
  • Energetic and professional, strong organizational and communication skills, ability to manage multiple and competing priorities
  • Able to establish and maintain professional working relationships with residents, co-workers, clients, contractors and public
  • Proficient with Microsoft Office Suite including Word, Excel and Outlook

Education: Minimum of high school diploma

Language Skills: The employee communicates effectively both verbally and in writing with superiors, colleagues, and individuals inside and outside the company. The employee works effectively and relates well with others including superiors, colleagues, and individuals inside and outside the company. The employee exhibits a professional manner in dealing with others and works to maintain constructive working relationships.

Physical Demands: Ability to sit and work on a computer for extensive periods of time is required.
